应试书信主要有两种语言风格:

正式文体(formal style)

半正式文体(semi-formal style)

应试书信一般不会出现非正式文体

书信首段写法

首段写法分两种:

一是首先表明写信人与收信人的相关性,然后再说写作意图。

例如:你租用了一家机构的房屋,但是暖气系统出了毛病。你给这家机构写信。

Dear Sir/Madam,I am at present living in a house which I rented through your agency.I am sorry to inform you that the heating system in the house stopped working five days ago.This is very inconvenient---not to mention dangerous to the health---as the weather is starting to get colder.第二种写法是首先说明写作意图,紧接着表明相关性。

例如:你在机场的免税商店买了Walkman。回来以后,你发现机器有问题。你写封信给商店。Dear Sir/Madam,I wish to complain about a Walkman which I bough three days ago in the Duty Free section of your airport.As is my habit, I made a point of trying it out on the spot.It worked perfectly well, and so I went ahead and purchased it.第三种写法是只在信件开头表明写作意图。其他的放到主体段落写。

例如:你出事了,住进了医院。给你的学校写信说明你要请假的原因。

随着各国之间贸易交流的加深, 尤其是在我国加入WTO后, 国际贸易活动日益频繁, 作为对外贸易中的一种基本的交际方式, 商务英语书信也得到广泛应用。然而, 有些信件冗长而结构不严谨;有些措辞粗略无礼, 空洞无物;有些累赘而模棱两可, 充满着陈词滥调, 晦涩的行话和难懂的专业术语;有的甚至还有拼写和语法错误, 这都会阻碍有效的交流。对于国贸专业的学生, 以及从事对外贸易的工作者来说, 熟练掌握商务英语书信的格式与结构并加以应用, 是不可或缺的一项技能。

一、商务英文书信的格式

一般来说, 现在使用的商务英语书信的格式主要有两种:传统的缩头式和现代的齐头式。根据英国传统做法, 缩头式要在信文每一段缩进五或六个字母的空间, 有时可能会缩进更多。现在, 齐头式在商务英语书信中使用得非常普遍。它的突出特点就是所有信的内容都从信纸的左边开始, 段落与段落之间要比缩头式多空出两到三行, 以便于区分。这种格式被称作齐头式。但是, 有时把日期放在信纸的左边会给查找带来不便, 所以, 人们使用了一种改良的齐头式, 即把日期放在右边, 而把其他内容放在左边。一般来说, 我们通常使用单行距来布局一封信, 这会使信函有一种紧凑感。根据个人或公司的喜好, 可以选择使用齐头式或缩头式。

二、商务英文书信的结构

不论传统的缩头式, 还是现代的齐头式, 一般商务英语书信的结构都包括十三部分内容, 前七部分是每一封商务英语信件所必需包含的内容。在商务英语书信中, 每一部分内容都有自己固定的位置, 包含自己独特的内容, 是不能随意互换的。

1. 信头。

信头所包含的是写信人的基本情况, 包括姓名、地址、电话号码、电传号码, 以及传真号码甚至E-mail地址。信头在信纸的最上方, 有的公司把信头直接印在所使用的信纸上。质量优良的信纸, 以及一个整洁、匀称的信头, 可以展示一个公司的风采, 增强公司的信誉。

2. 案号和日期。

案号是写信时所给的、以便查询的字母或数字。经常以“Our ref”和“Your ref”来区分。它的位置一般是在信头的右边。而日期在信头以下三行或四行, 不管是齐头式还是缩头式, 一般把日期放在右端, 这可起到行尾的作用, 使信看上去更整齐。在商务英语书信中, 日期一定要写全, 不能用数字的形式, 因为美国和英国的日期标示法是不同的。月、日的后面用逗号, 年份后面不用标点。

3. 封内名称和地址和开头称呼语。

封内名称和地址要用齐头式, 紧靠信纸的左边, 这样会使信看上去整齐。开头称呼语是写信人开始信文的礼貌用语, 在英文书信中要使用敬语, 在称呼方面, 商业上最普遍的有Gentlemen (美国式) 与Dear Sirs (英国式) 二种, 相当于我国的“敬启者”或“谨启者”。如果信是写给某个公司单位的, 美语用Gentlemen (复数形式) , 英语用Dear Sirs。称呼后一般要使用标点符号, 英国式采用逗号, 美国式用分号。

4. 信文。

信文是实质性的内容, 信文的书写要求是简洁、清晰、礼貌;语法正确, 切中要点;段落划分明确, 每段集中于一个话题;打印准确, 布局要有艺术性, 使信件看上去赏心悦目。尤其注意页边空栏, 它是信文的框架。信文多用单行距, 有些短信可用双行距。

5. 结尾敬语。

结尾敬语是信件结束时的一种礼貌用语。最为典型的美国式写法是Sincerely和Best regards, 典型的英国式表达有Yours sincerely (熟人或知道对方姓名) , Best wishes, kind regards和yours faithfully (不知姓名) 。结尾敬语必须和信文紧连一起, 不能分开, 更不能把它单独放到另一页。如遇此种情况, 则信件必须重新安排、打印。

6. 写信人签名或签署。

签署是写信人或其所代表公司的名称或标记。公司名称可以打印, 而主管人签名则必须是手写, 两者都不可用印章代替。这部分在结尾敬语以下三行, 大约留出五行或更多的空间。

7. 注意事项。

注意事项的习惯用语是:For the attention of或简单的Attention, 下面一般要加上横线。当信件是写给特定的人或主办部门时, 则用此用语。它在开头称呼语以上两行。除齐头式外, 可放在信文以上中间。

8. 事由、标题。

事由或标题在开头称呼语以下两行, 下加横线, 除齐头式外, 一般放在信文以上中间。经常是用一词或简单的几个词来表示信文的主题, 让收信人先对所谈内容有所了解。

9. 经办人代号和附件。

经办人代号在签署以下两行。是打字员名字的首字母缩写, 可用小写, 也可用大写。附件在经办人代号以下两行。写信人可标示出一个或多个信中所提到的附件。经常使用的形式有:Enclosure, Enclosures, Encl.Enc等。

抄送在附件以下两行。抄送有明、暗两种方式。明示的标记为cc, 后面加上收件人或公司的名字, 可打印在原件和复印件上。暗示的标记为bcc, 后加收件人或公司的名字, 只打印在复印件上, 并且只有写信人和收信人知道。

附言在抄送以下两行。如写信人想增加些信中忘记提到的内容, 可用此方式, 但应尽量避免使用。因为它可能会给人一种错觉, 即在写信前, 你未能很好地安排你的信件, 这可能会影响到你的信誉。

总之, 当书写商务英语书信的时候, 必须谨记:选定一种格式, 坚持使用, 不能变来变去;结构中的内容要安排合理得当。布局好的信件是双方交易的好的开始。一封布局优雅、端庄匀称的信件, 会留给人一种良好的印象, 促进双方的进一步往来, 直至交易的达成。

英文信包括信头、信内地址、称呼、正文、结束语和签名六个部分。比中文信多了一个信头,而信头包括两项:写信人的地址和写信的日期。写时是先写地址再写日期。在写地址时要注意哟,和中文写法有点不同,是先小后大,也就是说,第一行写门牌号及街道名,第二行写区名、市名、省名。寄往国外还要记得在第三行加上国家名,日期是写在地址的下方。如:

信内还有个地址,它是指收信人的姓名、职业、单位和地址,且位于信纸的左上角,比信头低一二行就行了,其顺序是先写收信人的姓名与头衔,再写地址。有时信内的地址常省略。其它部分和中文格式没多大区别,但要注意,称呼关系密切的要加上dear,如:Dear Tom。而不太熟悉的可加上Mr.,Mrs.或 Prof.如:Prof. Green,后要用逗号。正文只要行文流畅,传情达意,字迹清楚。结束语放在正文的下一二行右下。首字母大写,别忘了加个逗号。常用的有:Yours/Yours sincerely/Yours faithfully/Yours respectfully。签名时如果不是特别亲密,一般要用全名。例如:

最后,还有个信封(envelope)。英语的信封和中文的一样,由三部分组成,即发信人地址、收信人地址和邮票。只不过英语信封的格式除了邮票所贴的位置(信封的右上角)和中文的一样外,英语信封上要写的发信人和收信人的地址和中文的大不一样。发信人的地址应写在信封的左上角,收信人的地址应写在信封偏中右偏下处,如:

由之前英语常用应用文的分类来看,基本上我们接触的常用应用文主要是书信类。书信的具体写法格式,中文同英文是有很大差别的。因此了解英文书信的一些常识性东西是十分必要的。

(一)英文书信内容的组成部分英文书信不论是商业信、社交信或朋友间的通信,依据习惯,大体都有六部分组成。即:信头(heading)信内地址(inside address)称呼(salutation)正文(body)结尾语(complimentary close)签名(signature)1.信头(heading)英语书信的信头包括发信人的地址和发信的具体日期两部分。

信头放在信纸的右上角,一般分行写出。要先写发信人地址,再写发信的日期。写发信地址时依据从小到大的原则,即:先写门牌号码、街道名或路名,再写区(县)及所在市名称,然后是省或州、郡名称,最后再写上国家的名称。日期的顺序是先写月份再写哪一日然后是年份。需写邮政编码,邮政编码写在城市名称后边,用逗号隔开。信头不能越过信纸中间而写到信纸的左上面。

另外需要注意的是,通常在写地址时,第一行写门牌号和街名,第二行写地区名,第三行是日期。一般信头每行末不用标点符号,但每行中间应用的标点不可少,城区名和邮政编码之间,日月和年份之间要用逗号隔开。

信头一般不要写得太高,信头的上面要留些空白。信头的书写格式有两种:并列式和斜列式。所谓并列式是指信头各行开头上下排列整齐。而所谓斜列式是下一行开头较上一行的开头向右移一至两个字母的位置。如:并列式:6P Park Ave.New York; NY 11215, U.S.A.December 1, 斜列式:6P Park AVe.New york, NY 11215, U.S.ADecember 1, 19932.信内地址(inside address)信内地址包括收信人的姓名称呼和地址两部分。社交的私人信件信内地址是省略的。信内地址的位置位于信头的左下方,它的开始行低于信头的结尾行,位于信纸中央的左边。信内地址先写收信人的头衔和姓名,再写地址,地址排列次序同信头一样。

信内地址的书写格式也有两种:并列式和斜列式。一般来讲,信头和信内地址所用的格式总是保持一致的。标点符号的使用也与信头一样。

关于信内地址对收信人的头衔和姓名的称呼一般有以下几种情况:无职称的男子用Mr.(加姓)已婚的女子用Mrs.(加女子丈夫的姓)未婚的女子用Miss婚姻状况不明的女子用MS.博士或医生用Dr.(Doctor)有教授职称的用Prof.(Professor)总经理、校长、会长、总统用Pres.(President)

3.称呼(salutation)称呼是对收信人的尊称语,自成一行,与信内地址上下排齐。在美国用“My Dear”比用“D ear”还要客气,而英国的用法恰巧相反。对于一个陌生的人通信一般用“Dear Sir”或“D ear Madam”。另外需要注意的是称呼后面用逗号。4.正文(body)正文是书信的`核心部分。

正文的写作必须注意以下几点:

(1)正文从低于称呼一至二行处写起,每段第一行向内缩进约五个字母,转行顶格。正文 也采用并列式的写法,即每行都顶格,但段与段之间中间要空出两三行表示分段。

(2)对于非正式的书信,除客气外,没有什么一定的规则。但究竟怎样的措辞,也应事先 想好。

(3)对于非常正式的书信,要知道开头句是很重要的。另外,信的内容中的每个段落 ,只能有一个中心思想,这样看信的人可以清楚、明白你所要表达的内容。为了表达的清楚,还要尽可能地用短句,少用长句、难句。段落也宜短不宜长,尤其开头和结尾两段更应简短。

(4)潦草的字同不整洁的衣服一样不雅观,书写一定要整齐规范。拼写也不能出现错误。 对拿不准的词一定要求助于字典。

(5)凡正式的书信,我们应将该信的全部内容写在一张信纸上。若一张不够,可用同样质 地大小的信纸继续书写,但若仅多出一两行则设法排得紧些放在一张上,或平均分为两页也好。信要写得美观大方。(6)正式的书信,词语要庄重,决不可用俗语和省笔字。5.结尾语(complimentary close)结尾语就是结尾的客套语。一般写于正文下空一两行后,从信纸中央处起笔写,第一个字母大写,末尾用逗号。结尾语措辞的变化依据情况而定,通常有以下几种:

(1)写给单位、团体或不相识的人的信用:Yours (very) truly,(Very) Truly yoursYours (very) faithfully,(Very) Faithfully yours,

(2) 写给尊长上级的信可用:Yours (very )respectfully,Yours (very )obediently,Yours gratefully,Yours appreciatively,也可以将Yours 放在后面。

(3)写给熟人或朋友的信可用:Yours,Yours ever,Yours fraternally,Yours cordially,Yours devotedly,也可以将Yours 放在后面。

(4)给亲戚或密友的信可用:Yours,Yours ever,Yours affectionately,Yours devoted friend,Lovingly yours, Yours loving son (father,mother,nephew……),以上各种情况 yours 无论放在前面或是放在后面都行,但不可缩写或省去。6.签名(signature)签名是在结尾客套语的下面,稍偏于右,这样末一个字可以接近空白而和上面的正文一样齐。签名当用蓝钢笔或圆珠笔,不能用打字机打。签名上面可以用打字机打出所在公司单位名称,下面也可打出职位。写信人为女性,则可在署名前用括号注明Mrs.或Miss。签名的格式不能常变换。如一封签G·Smith,另一封签George Smith,第三封用G·B·Smit h。男子签字前不可用Mr.、Prof.或Dr.字样。

(二)英文书信信封的写法(superscription)英文书信信封的写法同中文也不一样。具体来讲,英文书信应这样安排信封内容。

1.寄信人姓名地址写在信封的左上角。 收信人的姓名地址写在信封中间靠下或靠右地方。姓名要单独成行。姓名地址的写法同信头(heading)和信内地址inside address)一样。所用格式(并列式或斜列式)也同信内的安排一致。注意写上邮政编码。

2.信封左下角可以写些说明语。如写上General Delivery(平信)、Registered(挂号 信)、Express(快件)、Air mail(航空)、Personal(亲启)、Please Forward(请较交)、Prin ted Matter(印刷品)、Book Post(图书邮件)、Manuscripts(稿件)、Photos Enclosed(内有照片)、Top Secret(绝密件)等。

书信可分为一般书信和专用书信两大类。

 一般书信常指私人间往来的书信,也有个人对组织、组织对个人的。可用于表示庆贺、问候、规劝、吊慰、请托、推荐、邀请、洽谈工作等用途。一般书信,要求写得礼貌周全,语言 简明,字迹工整,清楚明白。写后要仔细检查,看意思是否清楚,用词是否恰当,有否有漏 字和错别字,准确无误之后方可发寄。

书信的格式,包括称呼、问候、正文、结尾、署名、日期等几个部分。

①称呼:书信的称呼要根据写信人与收信人的关系来确定。对特定的对方,称呼前可加上“ 敬爱的”、“尊敬的”、“亲爱的”等敬语,以示礼貌和尊重对方。称号要写在信的第一行,顶格写,称呼后面加上冒号。

②问候:问候语写在称呼的下一行,空两格,可以独立成一小段。一般的问候语有“您好”、“你好”等。问候语后面加叹号。也可根据对方的不同情况,从节日、身体、工作、学习等方面问候,根据不同的情况写不同的问候语。

③正文:正文是书信的主要部分,中心内容都写在这里。正文中的话要说清楚,做到表情达 意,简明扼要。正文写在问候语的下一行,开头空两格;

④结尾:结尾语是正文写完之后,加上致敬或或祝愿的话来收束全文。结尾语要根据对象的不 同而有不同:一般写“此致敬礼”;给长辈可写“敬祝健康”;平辈可写“祝工作顺利”、“祝身体健康”;给晚辈可写“愿你进步”;如果是节日可写祝贺节日快乐等等。结尾语的 “祝”、“敬祝”、“此致”等可紧接正文写,也可独占一行,空两格写,“健康”、“快 乐”、“敬礼”等要另起一行,顶格写。

⑤署名:署名是写完结尾之后,签上写信人的名字,一般写在右下侧;如果是直行,就写在 左下侧。署名也要看写信人与收信人的关系,它的称呼是对应的。

⑥日期:信的最后要写明日期,写明日期可使对方了解你写信的时间。日期写在署名的后边 或下边。

信写完后,如有补充,可补写在最后。一般先写“附”,加上冒号;写完后再写“又及”两 个字来说明。
